For main contractors in construction

Who gets on site?

Workgate follows the documents and checks of your subcontractors and their workers, per site. You see what is missing, ask for it precisely and know whose turn it is.

No credit card needed. Subcontractors upload for free.

Mihai C.'s Dimona is missing. Fictional Insulation has to provide it.

The problem

Four workers. Fourteen papers. At the gate by 7 am.

07:00

The crew is ready, the paperwork isn't

ID documents, Limosa, Dimona and basic safety certificates are scattered across e-mails, WhatsApp, a spreadsheet and a note in the van.

You

As main contractor, you share the responsibility

If someone works on your site without the right declaration, the question lands with you too. You want to know what is missing before the start.

35% · 15%

Your subcontractor's debts become yours

If a subcontractor owes the NSSO (RSZ/ONSS) or the tax authorities, you have to withhold part of their invoice when you pay. Forget it, and you are liable too.

What you get

An overview you can explain

Clarity before the start

See per worker and per site what is missing, what still needs review and whose turn it is.

Ask precisely, upload clearly

Only ask for the missing papers. Your subcontractor uploads them without an account.

Follow-up that keeps up

Expiry dates and changes are reassessed; you see when it turns 'Not OK'.

A file you can explain

Every status points to the document, the rule, the source and the date.

How it works

From enterprise number to site-ready in three steps

  1. Step 1

    Start with the enterprise number

Create your site and add your subcontractors by their enterprise number. Workgate fetches the company details from public sources.

  2. Step 2

    Ask precisely

Workgate works out which papers each worker needs. Your subcontractor gets an invitation and uploads only what is missing, without an account.

  3. Step 3

    See who can start

Per worker and per site you see OK or Not OK, with the reason. Per document you see whether it is missing, valid or expired, and what expires soon.

For subcontractors

Working with subcontractors: manual uploads stay free

A subcontractor uploading papers for your site pays nothing. Managing their own workers, uploading documents manually and seeing the status: free. Following your own projects is paid.

  • Keep your own workers and their documents up to date
  • Upload through an invitation, without an account

How we handle data

Strict where it matters

  • No national register numbers

Workgate never asks for a national register number (INSZ/NISS), has no field for it and never extracts it from a document.

  • Unknown stays unknown

If a source cannot be reached, Workgate shows 'unknown'. Never a green or red tick based on a guess.

  • Every status can be traced

Every assessment is stored with the rules, the input and the reasons. So later you can show why someone was site-ready.

Free, no account

Check a subcontractor by enterprise number

Enter an enterprise number and see the company details straight away, plus what you still need to check before the start.

Start the check

Coming soon: the Startcheck will also look up whether you have to withhold when you pay. For an NSSO debt that is 35% of the invoice, for a tax debt 15%.

Frequently asked questions

Questions

Does my subcontractor have to pay too?

No. A subcontractor uploading papers for your site pays nothing. They can upload through an invitation, without an account.

Does Workgate store national register numbers?

Workgate does not ask for it, has no field for it and never extracts it. Uploaded documents, ID documents included, are stored in full in protected private storage and shown only to those who need them for the site.

What does 'Not OK · to review' mean?

That something still needs checking before Workgate can say whether a worker is site-ready, for example an uploaded document that has not been reviewed yet. A missing document is never automatically a violation.

What if an external source does not respond?

Then Workgate shows 'unknown'. A timeout is not a result, so you never get a green or red label based on missing data.

Does Workgate tell me if I have to withhold?

The withholding lookup in the Startcheck is coming soon. It checks whether a withholding for the NSSO (35%) or the tax authorities (15%) is needed when you pay. Workgate does not check invoices or payments.

Can I try it first?

Yes. The Startcheck is free and needs no account. Signing up is free too, as is following 1 site; several sites at once is paid from Starter.
